How to Winterize Your Commercial Property

Prepare your commercial or residential property for winter hazards.

For businesses located in northern climes, the chill of winter brings snow, ice and sleet. The winter storm season got off to an early start with an enormous Midwest blizzard. The popular video of the Metrodome collapsing in Minneapolis is a vivid reminder of the potential hazards of winter weather.

You likely know some tips about winterizing your home. Many of those same ideas apply to business. But commercial properties present some unique winterization challenges of their own.

Heating and ventilation winterizing tips

  • Schedule an annual cleaning of your HVAC system. Neglecting regular maintenance can wear out the equipment and lead to high fuel bills.
  • Check the caulking around your windows and doors, to make sure warm air is not escaping.
  • Use a door blower to judge whether or not your building is airtight. A blower door uses a calibrated fan with a pressure-sensitive device to measure air pressure and identify leaks.
  • Hire a HVAC professional to check for duct leakage. This is commonly done with a duct-blaster and blower-door together.

Avoid the winter “slip and slide”

  • Install a programmable thermostat. Keeping the temperature at 64 degrees at night instead of turning it completely off does not save energy. Modern HVAC systems work quickly and can quickly bring room temperature to comfortable levels.
  • Make sure sidewalks and building entryways are free of ice. While salt is the most commonly used method for melting ice, there are new environmentally-friendly alternatives including sugar beet formulas. Remember that traction is the key. So be sure to use traction mats or even sand to cover slippery spots.
  • Is snow blocking the fire lane? Consider safety first. And clear snow to allow emergency access to hydrants and emergency exits.
  • Watch out for falling icicles. Although it might look like a scene from a cartoon or movie, a 20-pound block of ice from 30 stories up can be dangerous. Consider heating the building’s exterior or using glycol-based de-icing agents.

Preventing “popsicle pipes”

  • Frozen pipes are best prevented by proper insulation of pipes and fittings.
  • In cases of extreme cold, consider letting faucets drip slightly since moving water takes longer to freeze than standing water.
  • Pay attention to wet pipe sprinkler systems for freezing. Review codes which often mandate dry pipe sprinkler systems (water is not in the pipes until system operation) for temperatures under 40F.
  • Do not use a blowtorch or other open flame on frozen pipes. This causes rapid expansion which can easily crack your pipes.

Stop the thermostat wars

  • Squabbles among office workers about the temperature can cause tensions and lead to decreased productivity.
  • Consider setting a standard office temperature and name one person whose job it is to adjust the thermostat. Be sure to communicate this standard with your employees. To make your case, relay studies on temperature’s effect on worker efficiency!
  • Set policies on usage of space heaters. If they are allowed, make sure employees follow strict safety rules including proper storage of paper. (Don’t store near space heaters.) Make sure employees and tenants unplug space heaters before they leave their home or office.

In addition to protecting the physical systems in your building, take a look at your emergency supplies. Can your building accommodate every tenant overnight or for multiple days in case of a blizzard? Make sure you have plenty of warm blankets, portable heat sources and extra food in case you get snowed in.

At RJWestmore, Inc., we stress the importance of being proactive about preventing disasters. Preparation is critical because, while it won’t necessarily stop every potential disaster from happening, it will aid your efforts to mitigate the damage and, we hope above all else, save lives.

As 2010 comes to an end, families and property managers and owners have a chance to consider some New Year’s safety resolutions. For some ideas, you can look to FEMA’s recently announced “Resolve to be Ready in 2011” campaign. This is great because, while we want you to be thinking about safety every day; New Year’s is the perfect time to commit to implementing change.

Whether you choose to use this post to help formulate a New Year’s resolution or to inspire ideas for safety-related holiday gift ideas, remember that safety equipment pays for itself 100-fold the minute it is needed.

For families, the Resolve- to-be-Ready Program promotes readiness in three simple steps. So schedule firm deadlines for each to ensure your family is covered:

1. Create a Family Emergency Plan.

  • Discuss plans with all members of the family, being careful to include younger children, who often think quickly in emergencies.
  • Establish a meeting place and ways to contact each other. Remember cell phones might not be operational. So plan for contingencies.
  • Involve neighbors, especially noting who children should contact during emergencies if parents are not present.

2. Create an Emergency Kit. (Here is a comprehensive list of kit-suggestions.)

  • Include documents such as emergency contact numbers, insurance information, and bank records.
  • Also, don’t forget flashlights and first aid supplies.
  • Don’t neglect your pets. They will need food.
  • For little children and infants, you should include diapers and related items. Be sure to check the kit contents on a regular basis, since 18-month-old children won’t fit into newborn diapers.

3. Be Disaster-Specific.

  • If you live in Southern California, you should create unique plans for wildfires, earthquakes, and maybe even mudslides.
  • Atlantic coastal residents should purchase NOAA radios for better hurricane awareness to help plan evacuation or shelter plans.
  • Make sure you plan for the natural disasters specific to your region of the world.

Need gift ideas for family members, employees or coworkers? You might get some funny looks. But safety preparedness gifts show that you truly care! Consider these suggestions, which are more creative and helpful than a tie or Chia Pet:

  • An Emergency Generator
  • New carbon monoxide and smoke detectors are now available even for the hearing impaired
  • Fire extinguishers are perfect for family members who spend long hours in the garage woodworking or tinkering with cars
  • A gift certificate for First Aid or CPR classes. If you an organization that offers these, create one of your own.

What can property owners and managers do to promote readiness?

  • Giving fruit cakes at the holiday party? Consider a safety-related item such as an earthquake kit or roadside emergency kit.
  • If a major disaster prevents your employees or tenants from going home, do you have sufficient supplies for an overnight stay? Resolve to build an adequate stockpile of ready-to-eat meals, blankets, and bottled water.
  • Encourage your employees to meet resolutions by developing fun incentives. Resolve to be Ready recommends employees sign safety related pledges and display them at their desks.

Unlike trying to lose weight or hitting the gym six times per week, safety and preparation resolutions are relatively simple and realistic to meet. Whether you are buying waterproof flashlights for Uncle Fred or offering free CPR classes at your office building, you can help others by encouraging them to focus on safety.

Tsunamis are rare but, nonetheless, quite dangerous.

Tsunamis: The Threat is Real

Although rare, tsunamis pose extreme danger in coastal areas due to their sheer size and difficult predictability. In the United States, tsunamis are a threat that could one day cause a major disaster. According to the California Seismic Safety Commission, 80 tsunamis have been recorded over the past 150 years in California. In 1964, the Great Alaskan Earthquake produced numerous tsunamis, including some that killed twelve people in California and four in Oregon.

Although they are often referred to as “tidal waves,” tsunamis are not generated or affected by tidal forces. In fact, tsunamis can do considerable damage even if they occur during low tides.

How Tsunamis are Formed:

  • In basic terms, tsunamis result from the displacement of a large volume of water.
  • Earthquakes, volcanic eruptions and landslides can lead to tsunamis.
  • When an earthquake occurs in the ocean, two plates are slipping, which causes a release of energy. In the water, this movement of plates is transferred into wave- energy.
  • Although the waves generated at first have a very small height, they are very long (and are referred to as wavelengths). In  the open ocean, tsunamis often pass by ships unnoticed.
  • Reaching speeds of up to 500 mph, the waves slow and increase in height as they reach shore.
  • “Mega-Tsunamis,” with waves hundreds of feet high, can be caused by massive landslides

Detection Systems :

After the Indian Ocean tsunami in 2004, the Bush Administration enacted more tsunami planning and early warning systems for the United States. Part of this effort included an increase in the number of Deep-Ocean Assessment and Reporting of Tsunami (DART) program buoys. Each of these buoys are anchored to the sea floor and relay valuable information including pressure and temperature data which are used to calculate wave height. GPS-based information is relayed back to a satellite and picked up by the receiving station.

Implications for Building Owners and Property Managers:

  • Review tsunami inundation zone maps that are offered by Federal agencies. These maps are similar to flood plain maps and provide a clear picture of potential threats. In California, the State Office of Emergency Services produces these maps, which are increasingly used by municipalities for evacuation planning.
  • Read the California’s Seismic Safety Commission’s tips on earthquakes and the related tsunami threat.
  • Be aware of warnings from the National Oceanic and Atmospheric Administration (NOAA). In June of 2005, a watch was quickly issued for the Washington and California coasts.
  • Consider your building’s structure to determine if it can sustain tsunami forces, which differ greatly from that of earthquakes.

We believe that knowledge and preparedness saves lives. Although tsunamis that cause extreme damage are rare, they are potentially devastating and occur with minimal warning. Shake, Rattle, and….Prepare?

Get ready to shake, rattle and roll.

The theme of many of our blogs is: “Are you prepared?” The reason for our keen focus on preparation is because history has shown us that the unpredictable will happen, and it probably won’t come with much advance warning. All we can do is prepare and plan. And history has taught us that proper planning before an earthquake can result in dramatic prevention of loss of life or property.

The Great California ShakeOut is an annual event that promotes earthquake preparedness for Californians. This year’s event is scheduled for October 21st, at 10:21 a.m. However, business and homeowners are encouraged to schedule activities of their own to mark the occasion, if timing of the official event is inconvenient.

So far, 6.5 million people and counting have registered to participate in this month’s ShakeOut. And there is still time to sign up. Encourage your team members and tenants to register and support this year’s ShakeOut, which is sharable via Facebook and Twitter, so you can encourage other business owners and managers to participate.

The scenarios and drills used in the ShakeOut are based on data from a hypothetical 7.8 magnitude quake on the San Andreas Fault. Results of the scenario are available in both a 24-page version and the full scientific 312-page version, courtesy of the USGS. You very likely won’t have time to read all 312 pages. But there is still much to glean from the main points of the exercise.

A free ShakeOut manual for business owners and managers provides suggestions for conducting drills to practice earthquake preparedness:

  • Drills cover, “Drop, Cover, and Hold On,” and other training that tenants can utilize in order to stay safe during a shaker.
  • The manual encourages actual interaction and discussion between tenants and drill organizers. Try to speak with people who actually work in the building. You might discover helpful suggestions and ideas for improving evacuation routes or supplementing a shortage of emergency kits.
  • Go viral! Owners can share photos and stories from this year’s drill at www.ShakeOut.org
  • Advanced drills are detailed, including a “Business Operations Simulation Drill,” which can test your company’s ability to manage a disaster. The drill includes simulations that simulate problems such as loss of electricity, lack of cell phone service, or blocked emergency exits. Advanced drills are intended to mirror real earthquake emergencies.

Another component to the ShakeOut is “Secure Your Space.” This initiative covers not only how unsecured filing cabinets and picture frames can turn into hazards, but also why it’s necessary to retrofit buildings and adhere to proper codes.

Similar to our last blog, which covered “Fire Prevention Week”, this post about the Great Shakeout is a good opportunity to raise immediate awareness about the subject. But real safety preparedness and planning involves more than information that can be covered in a single day. It’s great to promote awareness initiatives like the Shakeout to increase tenants’ exposure to safety issues, but be sure to have frequent refresher sessions and reminders about lessons learned. Knowledge about safety is useless it’s put into practice. So make sure proper procedures are followed.

On 9/11/2010, our nation was transfixed while 3,000 of our friends, neighbors, co-workers, classmates and family members perished in a violent terrorist attack. So, it is fitting that we pay homage every September to the Americans who lost their lives nine years ago with an entire month dedicated to emergency and disaster preparedness. And so we do—September is National Preparedness Month.

Risk assessment is a sophisticated area of expertise that can range from self-assessment to an extensive engineering study. The specific industry, size and scope of your individual company will determine the risk assessment needs of your organization.

  1. Know what kinds of emergencies might affect your company. Find out which natural disasters are most common in the areas where you operate. You may be aware of some of your community’s risks; others may surprise you.
  2. Learn about what to do during disasters as diverse as biological, chemical, explosive, nuclear or radiological attack.

Plan for Business Continuity: Carefully assess how your company functions—both internally and externally. How quickly your company resumes business following a terrorist attack, tornado, fire or flood depends on the extent of the emergency planning you do today. Start planning now to improve the likelihood that your company will survive and recover.

Initiate Emergency Planning: Your employees and co-workers are your business’s most important and valuable assets. Make sure your plans protect them. There are some procedures you can put in place before a disaster. So make sure you learn about the resources usually people need in order to recover after a disaster.

It is possible that your staff will need time to ensure the well-being of their family members. But getting back to work is also important in the personal recovery of people who endure disasters. Re-establish routines whenever possible.

Since a fire department in the United States responds to a report of fire every 19 seconds, fire is an ever-present danger at work, home or even when you are traveling. Fire is also one of the most common emergencies following an earthquake, explosion, terrorist attack, power surge or other natural or manmade disaster.

Since you never know when fire will strike, you should be careful to prepare so you will immediately know what to do in case of emergency. In this series, we hope to educate you in an effort to help you and your tenants prepare for fire. Today’s post will discuss the ways that you, as a building owner or property manager, can mitigate the risk of fire by making sound choices for building materials and furnishings and by educating tenants about taking responsibility for their own safety.

Making sound choices for building materials

If your property is still under construction, install fire-safe materials wherever possible.

David Horne, a member of the Fire Safe Council (FSC), admits that it’s impossible to take the risk of a fire down to zero unless you live in a bunker.

But he says, “Builders can make their (projects) between 20 percent and 70 percent less likely to burn from the outside by choosing fire-resistant materials and veering from traditional designs.”

Here are some fire-safe installation ideas from the FSC:

  • Install stucco, fiber cement, and other noncombustible cladding materials
  • Build eaves and roof decks that are boxed in and never made from wood.
  • Omit windows from exterior walls that sit close together.
  • Add an extra layer of gypsum or another fire-resistant material beneath the siding on facing walls
  • Install double- or triple-pane windows to keep intense heat from breaking the windows
  • Choose noncombustible materials for fences

Making Sound Fire-Safe Choices for Furnishings

Even if your property has already been built, you can take steps to lessen the risk of home, apartment or office fire.

Upholstered furniture, wall coverings, flooring and mattresses burn quickly and produce large amounts of toxic smoke. Burning upholstered furnishings or mattresses contribute to nearly every home fire death. Understanding the hazards associated with these furnishings will help you choose fire-safe products.

Whenever possible, select upholstered furniture that has been treated with fire retardant. Some professional organizations and the state of California have developed manufacturing standards to increase the fire resistance of certain types of furniture. Educating Tenants about Fire Safety

In a perfect world, everyone would know how to prepare for disaster and would take the necessary steps to mitigate risks. Sadly, we live in an imperfect world. So don’t assume that your tenants know how to proactively prevent fires or prepare for emergencies. Although you are not obligated to do so, it’s relatively easy and inexpensive to provide helpful, straight-forward guidelines for them to follow, so in the event of emergency, they are without excuse.

Print these helpful tips for distribution,  for information about fire safety at home, tips for basic home fire safety and fire safety at work.  The headline for each of these fact sheets notes that the responsibility for fire safety and disaster preparedness rests squarely on the shoulders of each individual. Additional reference materials are also available through FEMA and the National Fire Protection Association.  Whichever fire safety guidelines you prefer, post them in a central location.

With the recent earthquake in Haiti and hurricane in New Orleans, people are keenly aware that disasters can and will happen. And when they hit, they can wreak havoc on residential and commercial property. But never fear. The best way to deal with an emergency is to prepare for it in advance.

So, in light of the Haitian earthquake and Hurricane Katrina, take time to review your disaster-related evacuation planning and tenant safety issues. And then, review and evaluate your insurance policy to make sure you have adequate coverage. Although people often groan about paying high insurance premiums, covering them beats the alternative of facing an uninsured disaster that could literally ruin your business as well as your reputation.

The primary type of insurance for commercial property owners is commercial property insurance which covers the physical structure from various types of natural or manmade disasters.  Here are some tips for choosing or renewing property insurance coverage:

  • Make sure your building is current with regard to all safety codes before you apply for new coverage or try to renew an existing policy. If the insurance agent who reviews your property finds evidence of safety violations, he or she might fail to recommend the property to underwriters.
  • Remember that insurance companies are not code enforcers. Their concern is for the building and the potential loss of value. Ensuring the safety of tenants is a shared responsibility between the building owner/manager, the tenant/employers and every individual person in the building. There is a proven correlation between individual training and preparedness and life safety.
  • Find out if the policy provides reimbursement for alternative work accommodations. If your building is severely damaged, would you be able to offer temporary facilities for displaced workers?  Remember that securing building permits for repairs can take weeks or months. So make sure that your insurance is sufficient to cover construction and code-approval time.
  • Carefully review whether the policy allows for “actual cash value” or “replacement value?” Actual cash value factors in depreciation of the insured object, while replacement value reimburses policy-holders for the current cost of replacing the lost or damaged item.
  • Watch out for “Exclusions,” which are big in the world of insurance. Check the policy carefully for anything that might not be covered. Are you in a flood plain? If so, make sure flood-related disasters are covered. Vandalism coverage should also be considered since manmade damage can lead to costly repairs. Some policies cover every type of disaster. In other cases, you might find it necessary to add a la carte coverage.
  • Look at what the policy covers beyond the building. Are furniture, equipment and electronics included? All of these items can be costly to replace.
  • Make sure you take time to read the “fine print” in your property insurance coverage. Proper coverage today can save your business tomorrow.

It’s human nature to panic when disaster strikes. The result can be confusion, indecision and failure to react quickly. If, on the other hand, written procedures are followed, groups understand safety procedures and individuals are properly trained to take charge of the situation, evacuation can be swift, smooth and safe.

Let’s take a look at the necessary steps to ensure quick and thorough building evacuations:

  • The first step is to consider the type of emergency situation.
    • In cases of fire, the primary objective is to clear the entire building as quickly as possible.
    • For tornadoes, a safer option might be to instruct people to congregate in a large room located on the first floor instead of meeting outside. As always, proper preparation and written procedures are essential.

Employees and tenants need to be willing to take direction from the people who are in charge and feel confident that building management has control of any and every situation. Ensure there is a clear chain of command. Floor Wardens need to take charge and understand their responsibilities:

  • Know the proper evacuation routes and internal and external safe refuge areas.
  • Note any building occupants who need special assistance and assign someone to assist them.
  • Familiarize residents and employees with the location of alarm pull stations and (if they are properly trained to use them), fire extinguishers.
  • Instruct employees not to use elevators during emergencies unless instructed to do so by emergency personnel.
  • Evacuate any pets that are in the building.
  • Designate which tenants or employees should shut off gas lines or other equipment. Advise them to fulfill these duties only if absolutely necessary.
  • Building occupants should be given up-to-date evacuation maps and safety handbooks.
  • Stairwells and hallways should be kept free of boxes and other impediments. Routinely investigate these areas and work with building occupants to determine if additional storage space is necessary so hallways are clear of clutter, to ensure easy emergency exit.
  • Pay special attention to signage. Do a walkthrough of the evacuation route with your entire safety team. Is the escape route clear? If the power is out, will back-up lights and clearly marked egress signs be visible?
  • Establish a secondary meeting area in case the designated space is not usable. In major disasters, the primary exterior safe refuge area (located at least 300 feet away from the building) area(s) may be compromised. So plans should be made for secondary external safe refuge areas.

The recent earthquake disaster in Haiti will require extensive rebuilding of the country’s emergency response systems and infrastructure.
